Recipients are selected from our regular assistance work with home visits and put on a waiting list. When a suitable car becomes available the Committee again works with potential recipients including another home visit. If the need and eligibility are still present the committee proceeds with the process. Our Treasurer files all the required documents with the IRS and to the donor. Part III Line 1 Column (b) Our number of recipients is estimated by the family members in the home of the person receiving the donated car. The car will in most cases also be of help to relatives needing to go to a medical appointment, the grocery store or other daily needs. During the year we received 9 used cars that we have a mechanic check for overall condition and use. Then if accepted we go through our process and select a client to receive the car at no cost to them. Our clients are all needy individuals and or families.| Part VI, Section B, Line 1 Our St Vincent de Paul Conference follows the Rule which was established in 1835. We do not have a board but we are associated with upper levels of the Society. We have our independent tax exemption with the IRS. As for the Society we are a Conference which is on the local level. Within a broad range of rules we make our own decisions locally by using a consensus-based process. We are all volunteers who work together to develop an agreement that is good enough but not necessarily perfect. We must vote to elect our president or when consensus cannot be reached. Our 23 active members can vote while our 16 associates cannot. Everyone has their say and we are all independent. Part VI, Line 11a The Form 990 and required Schedules are prepared by the Chair of the Finance Committee and reviewed by the Treasurer. The draft then goes to the President and Vice President. After the Form is completed a report is given at a business meeting and copies are made available to all Conference members. Part VI, Line 19 Our conference makes our governing documents available to the public on the IRS website the Guidestar website and by giving a copy to anyone who requests the documents. We annually send a copy to the St. Vincent de Paul Council of Pensacola-Tallahassee. Financial information is provided on our Form 990 and Annual Report which is filed with the National office of the Society of St. Vincent de Paul each year. If a conflict of interest were to arise the member involved is asked to leave the meeting while the others resolve the issue.
