The collections are held for public exhibition, education, and research in furtherance of public service rather than for financial gain. In accordance with FASB ASC 958-360, the Organization has elected not to capitalize its collections. Collection items are not recognized as assets in the statement of financial position, and neither contributed nor purchased collection items are reported in the statement of activities. Contributed items are recorded in the Organization's accession records but are not assigned a monetary value in the financial statements. The collections are protected, kept unencumbered, cared for, and preserved. The Organization's collections management policy requires that proceeds from any deaccessioned item be used solely to acquire other collection items, for the direct care of existing collections, or both. Costs of conservation, cataloging, digitization, and storage are expensed as incurred. Contributed collection items are recorded in the Organization's accession records at the time of donation and are cataloged, conserved, and preserved for public exhibition, education, and research, but they are not assigned a monetary value or recognized as contribution revenue in the financial statements. Accordingly, no amount is reported for these items on Form 990, Part VIII, line 1g, and no revenue amount is reported in column (c). Part VI, Line 11b A draft of the Form 990 was prepared and reviewed by the organization's executive director. The draft was then provided to all members of the Board of Directors for review prior to filing, and board members were given the opportunity to ask questions and request changes. The return was filed after that review was complete. Part VI, Line 12c Each officer and board members is provided a copy of the conflict of interest policy and completes an annual written disclosure statement identifying any interests that could give rise to a conflict. The disclosures are reviewed by the board. Any conflict or potential conflict disclosed, or arising during the year, is discussed by the board, and the interested person is recused from the discussion and the vote on the matter. The recusal is recorded in the minutes. This rarely happened in the last year. Part VI, Line 19 The Organization does not make its governing documents, conflict of interest policy, or financial statements available to the public other than as required by law. The Organization's Forms 990 are available for public inspection at its office during regular business hours and through the IRS Tax Exempt Organization Search. Part XI, Line 9 During preparation of Form 990, a $139 difference was identified in reconciling the organization's beginning net assets, current-year activity, and ending net asset balance. The amount represents a minor bookkeeping and reconciliation discrepancy and does not reflect additional revenue or expense of the organization. The $139 adjustment is reported on Part XI, line 9 solely to reconcile the ending net asset balance to the organization's accounting records.
