The Treasurer maintains file copies of these communications along with a photocopy of the corresponding check(s) issued. For one source account that funds annual scholarship payments, only one senior member (not the Treasurer) has check writing authority. The criteria and process for awarding those annual scholarships is extensively documented in communications among applicable Fund leadership involved in the process. The Treasurer documents/records/tracks all assistance payments, scholarships, etc. using financial software - within corresponding category groups. The Treasurer reconciles the payments in the financial software (the "book") with account bank records.
