They are both founders of our organization. Our new Finance Manager is my sister-in-law. We have a nepotism policy as well as our conflict of interest policy to help us ethically navigate these situations. In small communities like ours, with extensive familial ties, these kinds of relationships are not uncommon. However, we ensure that individuals are hired because of their qualifications and that they are the best fit amongst the pool of candidates. The hiring of family members includes a process that excludes related individuals from hiring, pay, and management decisions and they are not allowed to directly supervise family members. After further consideration of such details as job duties, education, experience, skills and overall capacity, the Board sets the final Executive Director salary for the fiscal year. Form 990, Part XI, Line 9 adjust for rounding There was a very difficult transition between the previous Finance Manager and the current Finance Manager. Holani Hana's previous Finance Manager retired quickly due to personal reasons and the time allotted to find and train a new Finance Manager was limited. We found it extremely challenging as a Native Hawaiian nonprofit organization in a rural, geographically-isolated community, to find experienced financial managers that also have the cultural and community capacities our work demands. Larger CPA and accounting companies outside of our community were unwilling to take us on as a client or were not a good fit culturally for our organization. Thus, when our previous Finance Manager was ready to retire, we found ourselves urgently needing a new Finance Manager with the capacity to steward our growing nonprofit. Our previous Finance Manager was with Holani Hana for 8 years and before her tenure our organization was a volunteer run entity with very little bookkeeping needs. Due to the absence of qualified candidates, we had trouble finding a new Finance Manager from within our community. We were finally able to find a neighbor island candidate with extensive bookkeeping and HR qualifications in a credit union setting. However, there was not a lot of time for her to be trained by the previous Finance Manager, and it has been a difficult transition. The new Finance Manager had very limited training sessions and was unfamiliar with Holani's accounting software, procedures, policies, and non-profit filings and tax requirements. We also experienced significant delays in transitioning all core tasks to our new Finance Manager due to access issues for key accounts and platforms used in our bookkeeping and HR systems. During this time of transition while moving to a New Finance manager, Holani Hana fell behind in our filing requirements. We have successfully navigated this challenging time of transition and are now well equipped to ensure timely filing moving forward.
